OPERATING POLICY
- Booking A Court
- Click here for Salix instructions to book a court if you are a UTC winter member. During the winter season, members enjoy the benefits of 7 day advance court booking privileges.
- Non-members may only book 24 hours in advance by calling the club at (519)661-3112. Please refer to Guest Policy below.
- During the summer season, everyone may book a court up to 7 days in advance by calling the club at (519)661-3112. A membership is not required to book courts.
- Release of Liability, Waiver of Claims, and Assumption of Risks
- I am aware and understand that participation in the University Tennis Centre, John Hatch Sports Camps, and Mike Richards Tennis Inc. activities involves risks, dangers, and hazards, including but not limited to the risk of serious personal injury. I acknowledge that I am voluntarily participating in the University Tennis Centre, John Hatch Sports Camps, and Mike Richards Tennis Inc. activities and accept and fully assume any and all of the risks, dangers, and hazards involved including, the possibility of injury, whether caused by the negligence of University Tennis Centre, John Hatch Sports Camps, and Mike Richards Tennis Inc. or its staff or, volunteer organizers, or otherwise. I hereby expressly waive and release any and all claims which I may in the future have against University Tennis Centre, John Hatch Sports Camps, and Mike Richards Tennis Inc., its affiliates, and their respective directors, officers, employees and volunteers (collectively, "Releasees"), on account of personal injury arising out of or attributable to my participation in the University Tennis Centre, John Hatch Sports Camps, and Mike Richards Tennis Inc. activities, due to any cause whatsoever, including without limitation, the negligence of University Tennis Centre, John Hatch Sports Camps, and Mike Richards Tennis Inc. or any other Releasee, breach of any statutory or other duty of care owing under occupiers liability legislation or otherwise. I covenant not to make or bring any such claim against University Tennis Centre, John Hatch Sports Camps, and Mike Richards Tennis Inc. or any other Releasee, and forever release and discharge University Tennis Centre, John Hatch Sports Camps, and Mike Richards Tennis Inc. and all other Releasees from liability under such claims.
- Media Release
- Members and their guests and non-members grant University Tennis Centre, John Hatch Sports Camps and Mike Richards Tennis Inc. and its agents permission to take photographs and/or videos of you while participating in University Tennis Centre, John Hatch Sports Camps, and Mike Richards Tennis Inc. activities. The photographs and/or videos may be used to promote the club via the website, social media, flyers, brochures, newsletters, presentations, and other marketing activities.
- Personal Property
- The University Tennis Centre, John Hatch Sports Camps and Mike Richards Tennis Inc. is not responsible for the loss of money, personal property or vehicles of members and guests.
- Email Consent
- I consent to receive emails from University Tennis Centre, John Hatch Sports Camps and/or Mike Richards Tennis Inc.
- Membership
- There are 2 seasons at University Tennis Centre
- Summer Season – approximately May to September. A membership is not required to book courts. Everyone pays member court fee during the summer and no guest fee policy.
- Winter Season – September to May. A membership is required to book courts, take regular lessons, participate in leagues and clinics. Court fee, clinic and program fees apply in addition to a membership fee. Guest policy applies.
- Prorated winter season membership – winter membership is typically prorated mid January for the remainder of the season. We do not offer monthly membership rates.
- Illness or Injury
- A member who is injured or ill may apply for a membership credit. The member will be credited on the next year’s membership for an extended period (3 months or greater required) at the discretion of the owners.
- No refunds for prepaid adult clinics.
- Closing Due To Provincial or Federal Guidelines
- If University Tennis Centre closes prior to January 1, 2025 for the remainder of the 2024/2025 Winter Season due to Provincial or Federal Guidelines, you will be reimbursed 50% of your paid membership fee. No refunds provided after January 1, 2025 due to Provincial or Federal guidelines.
- Payment
- The club accepts membership payment in full by cash, personal cheque payable to University Tennis Centre or etransfer to universitytenniscentre@rogers.com. A membership form must be completed, signed and provided to the club either in person or by emailing it to universitytenniscentre@rogers.com when payment is made.
- The club accepts court fee and league fee payments by cash or debit. We do not accept credit cards. Court fees must be paid prior to going on the court.
- Lessons are paid directly to the instructor.
- Junior program is payable to John Hatch Sports Camp.
- Adult clinics are payable to Mike Richards Tennis Inc.
- NSF cheque charge is $50 owed to the club.
- Booking A Court
- Please call the club at (519)661-3112 to book a court. During the winter season, members enjoy the benefits of 7 day advance court booking privileges. Non-members may only book 24 hours in advance by calling the club. Please refer to Guest Policy below. During the summer season, the public may book courts up to 7 days in advance by calling the club.
- Court Fee
- The hourly court fee is $40 including HST for members. Maximum 4 players per court per hour.
- League and Clinic Fees
- These fees are specific to the weekly event. Please check under Programs for each fee. You must be a member to participate during the winter season.
- Cancellations
- If a court reservation is made, it is the member’s responsibility to keep it. Failure to call and cancel the court will result in the member being charged $40. Cancellations may be made up to 24 hours in advance by calling the club at (519)661-3112. Please do not email as it may not be checked frequently.
- Any cancellation for programs or clinics received less than 24 hours before scheduled time will be charged to the member unless the court time can be resold.
- All no-shows will be charged.
- Non-member and Guest Policy
- Non-members are welcome to come try out the courts up to a maximum of 4 times during the winter season IF membership is open. Non-members may only book 24 hours in advance and the hourly court fee is $67 including HST. Payment is due at time of booking and can be done only via etransfer to universitytenniscentre@rogers.com.
- Members are welcome to bring a guest up to a maximum of 4 times during the winter season. The guest is responsible for their share of the court fee plus a $17 guest fee. If a guest wishes to play more than 4 times, then the guest must purchase a winter membership. It is the member’s responsibility to check that guests are eligible to play.
- Parking
- A member will receive one parking permit to park in the Talbot Lot or Medway Student Lot over the bridge only while playing tennis. You will receive an infraction from Western Parking Services if you park in the lot while you are not playing tennis. Lost/stolen permits must be reported to the club. Replacement fee is $50. Please respect parking rules (park only in valid spots, not over lines). Infractions may be issued for parking offences as outlined by Western Parking Services.
- Student members do not receive a parking permit unless they are taking a private lesson from an instructor. A guest pass can be obtained from the clubhouse for a private lesson. Otherwise, students must pay for parking. Refer to Visitor Parking - Parking & Visitor Services - Western University (uwo.ca) for more information. Do not park in reserved tennis parking spots. These spots are for tennis permit holders only.
- Guests and non-members can obtain a guest parking pass from the clubhouse when you arrive at the club to play. Refer to non-member and guest policy for the maximum number of play times.
- Parking infractions must either be paid or appealed online. Refer to the back of the infraction for more information.
- Instruction and Coaching
- The club has our own approved instructors that members may book for private, semi-private, groups of 3 or 4 adult lessons or private, semi-private, or group of 3 junior lessons. We do not organize members in to semi-private or small groups. You must have the players for the lesson when you book with an instructor.
- You may not bring your own instructor in to the club for either tennis or pickleball (pickleball only offered during the summer).
- Tennis Etiquette/Code of Conduct
- Show respect and courtesy
To your opponent(s), your partner, and others on or near the courts. Keep your voice down and confined to your court as much as possible so as not to disrupt players on adjacent courts. No spitting, coffee, food and leaving garbage on courts. Do not hit the tennis domes with a racquet and no music allowed in the domes. Keep speech positive and respectful. Foul language and profanity are not tolerated.
- Do not walk onto another court during a game
Wait for the players to finish the game, or minimally the point, before walking onto their court. It is very distracting to have someone disrupt a game in progress, so if you must cross another court, do so after the game is finished, and go around the court, not through the middle.
- Do not retrieve your ball from the other court
As with the above, it is common courtesy not to disrupt players on court during a match. If your ball rolls onto an adjacent court, wait for them to finish the game and kindly ask for “a little help” to get their attention. Under no circumstances should you run over onto their court in the middle of a game to retrieve the ball yourself.
- Pets are not permitted in the clubhouse or on the courts.
- Clean shoes only on the courts to help keep the courts tidy, clean and safe! Please bring a clean pair of indoor shoes to change into in the clubhouse before you go on the courts. This applies to spectators too. A lot of people use our facility and we want everything to be in good condition for other groups to use.
- You must bring your own racquet and balls. We do not lend/rent racquets or balls. Balls may be purchased in the clubhouse.
- Have fun!
The entire objective of playing tennis is to have fun, to get exercise and to build positive relationships. You can follow these rules of etiquette and still have a good time on the courts - the players on adjacent courts will appreciate it.
